Date: December 21, 2010
To: All County Tax Assessor-Collectors
Subject: Lienholder Data Entry Errors
These documents contain text of correspondence sent by TxDMV to the county tax assessor-collectors, statutory agents who provide vehicle registration and titling services for citizens in Texas. This information is provided to apprise the general public of issues affecting the state's vehicle titling and registration process.
To request your assistance with reducing lienholder data entry errors.
To request your assistance in reminding those involved in title transfers to pay close attention to the data entry of lienholder information. This will help ensure no one loses their investment in a vehicle because of incorrect or omitted lienholder information in the title record.
VTR recently audited lienholder information contained in title documents versus what is reflected in the RTS title record. The audit determined that 2.6 percent of the title records had errors that resulted in inaccurate lienholder information.
Although most of us, at first glance, would consider a 2.6 percent error rate as relatively low, this error percentage computes to approximately 70,000 incorrect records and titles annually.
Request that you re-emphasize to your employees the importance of correctly entering all data and checking their work for errors.
Lienholders: Please verify that dealers have received your information accurately and review the title application receipt for accuracy.
Dealers: Please review the title application receipt and check for accuracy.
Counties: Please review title application receipt and Form 130-U for accuracy.
